The direct answer: outside marketing, the tools worth a look are accounting software that categorizes transactions, support inboxes with AI drafts and a chatbot, calendar assistants that defend time, and payroll platforms with an assistant. Hardly any charges one flat number. Most charge a base fee plus something per person or per customer conversation, so the pricing page is not your bill.

How to judge AI tools for small business

Three tests sort most of this out. First, check whether the vendor calls the feature AI itself. FreshBooks calls its receipt tool “Automatic Bill Receipt Data Capture” on its pricing page, never AI. Calendly’s pricing page does not use the word at all, offering “Automate meeting reminders” and “Route by HubSpot assignment”, which are routing rules. Both appear in AI round-ups anyway. Every vendor page linked here is a sales page.

Second, read the price twice, since every vendor page here was on promotion when we pulled it on 5 August 2026. Third, look for the word Beta, which both big accounting vendors put on their flagship AI feature.

Know where you stand. Among firms using AI at all, “57% of users integrate AI in three or fewer business functions, most commonly Sales and Marketing (52%), Strategy and Business Development (45%), and IT (41%)”, per a Census Bureau working paper, The Microstructure of AI Diffusion. Finance, HR and support are not on that list, so starting in one puts you ahead of most firms using AI.

The tools, the AI part, and the real cost structure

Prices are US list prices as of 5 August 2026, meaning what you pay once the introductory discount runs out. Every page here was on promotion at the time, so today’s figure is dated.

Money: bookkeeping and invoicing

This is where the AI is furthest along and the pricing most misleading. Intuit’s pitch: the software watches how you code transactions, then does it for you, with reconciliation, anomaly detection and validation held back for Plus and Advanced. Even the top tier keeps the Beta label, since “Intuit Intelligence Chat” is marked Beta and “Limited capacity” on every plan including the $340-a-month Advanced.

Xero’s competing feature carries a Beta label too, and the automatic version is not on the entry Early plan. Xero also warns that prices increase from 1 October 2026, which matters if your six-month discount runs out around then. FreshBooks is the honest outlier: its receipt capture turns paper into line items and never claims the word AI.

The verdict: if bank transactions sit uncoded for weeks, automatic categorization is worth paying for, and QuickBooks Plus at $140 or Xero’s $55 tier is where it lives. Budget from list prices; a 90% discount means the bill multiplies by ten on expiry.

Customer support and the shared inbox

Read the meter before the feature list. Help Scout charges $25 to $75 per seat a month for the inbox, meaning per person who logs in, and bills its AI Answers chatbot separately at $0.75 per resolution, meaning one customer question handled without a human. Intercom charges $0.99 per outcome for Fin. The two words are not synonyms, and each vendor defines its own.

Help Scout counts a resolution “only if the customer receives an AI response and doesn’t use escalation, search the knowledge base, ask more questions, or indicate that they need more help.” Intercom: “An outcome is counted when: a customer confirms their issue is resolved, they don’t ask for more help after Fin responds, or Fin completes a workflow (Procedure), including handoffs.”

Both vendors bill you when the customer goes quiet. Someone who reads the answer and never comes back has not escalated or asked again under Help Scout’s wording, and has not asked for more help under Intercom’s. Either way you pay, so your chatbot bill tracks behavior you do not control. Help Scout at least lets you cap it: its FAQ says AI Answers switches itself off when you hit a monthly limit you set.

Do the multiplication before you sign. A hundred repetitive questions a week is about 430 a month. At $0.75 that is roughly $320 in chatbot charges, at $0.99 roughly $425, and either sits on top of the per-person inbox fee.

On this post’s own numbers, start with Help Scout. It is cheaper per conversation, publishes its seat price so you can total the bill in advance, lets you cap your spending, and opens with three months of free resolutions, long enough to measure real volume. Look at Intercom Fin if you need the bot to finish a task rather than answer a question, and price its no-seat option first.

Scheduling and meetings

Reclaim.ai is the genuine article: it defends focus time, auto-schedules breaks and travel, and finds a time across attendees. Test it on the free Lite tier before paying $10 to $22 a seat. Otter.ai turns a meeting into searchable text with speaker names, on 300 free minutes a month. Otter publishes no accuracy figure, so treat any accuracy percentage you read elsewhere as unsourced.

Hiring and payroll admin

Payroll is the clearest base-plus-headcount trap. Gusto’s simple plan reads “$49/mo +$6/mo per person”, so a six-person shop pays $85 a month. Premium reads “$180/mo +$22/mo per person”, so the same six cost $312, nearly four times as much, and that gap decides the tier. Gusto’s AI assistant is Gusto Cofounder, still early access only, and Gusto’s own description of it ends: “Outputs may contain errors and should be reviewed before action.”

Hiring carries a warning vendor lists never do: screening candidates with software can create a legal obligation. New York City has enforced Local Law 144 of 2021 since 5 July 2023, which requires a bias audit within the past year, published audit information, and notice to candidates, put at 10 business days before use. We have not checked for a local equivalent where you operate.

What these tools get wrong, and where a human signs off

There is no trustworthy public accuracy figure for AI bookkeeping. Every candidate we found came from a firm that sells human bookkeeping, so we are not quoting one. The best evidence is what Intuit prints on its own checkout page: “Intuit Intelligence can make mistakes.” Its responsible AI page says of the tax version that the “AI flags potential errors in your return for the expert to review.” The vendor puts a human at the end of the money workflow. Do the same.

Time-savings claims need the same care. The best-evidenced number comes from “Generative AI at Work”, an NBER paper by Brynjolfsson, Li and Raymond, which found access to an AI assistant “increases productivity, as measured by issues resolved per hour, by 14% on average, including a 34% improvement for novice and low-skilled workers but with minimal impact on experienced and highly skilled workers.” Three qualifiers ride with that 14%: 5,179 customer support agents at one large firm; an NBER issue date of April 2023 revised that November, with no data-collection period stated, so the software tested is old; and gains that land on the inexperienced, so if you are already expert at your trade, expect the smaller end.

Distrust the AI label itself. In its September 2024 enforcement sweep the Federal Trade Commission acted against DoNotPay over its claim to offer the world’s first robot lawyer, alleging the product could not substitute for a human lawyer as promised. A vendor can put the AI badge on a pricing page without changing what the software does.

How many AI tools for small business is enough

Two habits matter more than the count. Budget from list prices and recheck them quarterly, because every page above was discounted the day we read it and Xero has announced an increase. And put a person at the end of any workflow touching money, a legal duty or a customer relationship, because Intuit and Gusto print that instruction themselves. The AI tools for small business worth paying for are aimed at the function costing you hours, and a metered tool, meaning one you pay for by the conversation, needs the arithmetic before the trial.
